Abstract Submission & Registration Instructions

    

Instructions for Registration

  • Online registration is mandatory.
  • Participants are required to use their e-mail address and set a password to register. In order to make any updates or cancellations, you have to login with your e-mail/password.
  • In case of difficulties during registration, please contact Organization Office (tolga@arber.com.tr).
  • Participant contact information and registration type must be entered during registration process; these information can be updated.
  • No payment is required during the abstract submissions.

Instructions  for Abstract Submission

  • Participants, who would like to present their work at the AESOP Congress, either orally or as a poster, are invited to submit an abstract for consideration by the Track Chairs.
  • Abstract submission is only possible via Online Registration System.
  • Registration is required for the submission of an abstract.
  • No payment is required during the registration for abstract submission
  • Please read carefully all the instructions available on the Call for Papers page before preparing your abstract.
  • Abstracts can be saved in “Draft Status” to be re-edited and modified until the submission deadline. Abstracts cannot be edited after the submission deadline.
  • Status of abstracts is available on the Online Registration System.

Instructions  for Bookings (Hotels, Tranfers, Tours)

  • Online Registration is required for the Hotel, Transfer and Tour Bookings.
  • Payment is not mandatory during the booking stage.
  • Payment is required for confirmation of the bookings.
  • Voucher and invoice are available after completing the payment.
  • There are currently no specified deadlines for the bookings. Related deadlines will be e-mailed when it is required.
  • Bookings can be cancelled and modified via Online Registration System.

PAYMENT OPTIONS

by Credit Card:

  • You can make your payments online by Visa or Master Card. 
  • You can fill the credit card information in the mail order form and fax to +90 312 441 07 01 in case of any difficulties. 

by Bank Transfer: 

  • Please indicate your name while making your payment. 
  • Bank transfer cost should be paid to the bank separately by the participant. 
  • The bank transfer receipt including the name of the participant should be e-mailed to the organizing office 
  • The bank account information is given below.

CANCELLATION & REFUND

The Congress Office must be notified in writing via e-mail or fax of a cancellation for all registers. The following cancellation conditions apply:

Registration

  • Cancellations before April 30, 2012: Full refund of the registration fee minus refund costs.
  • Cancellations before May 31, 2012: Full refund of the registration fee minus  €100 handling fee and refund costs.
  • Cancellations after June 01, 2012: No refund.
  • A handling fee of 50 EUR will then be charged for each name change.

Bookings

  • Unpaid bookings (within the informed deadlines) will be cancelled.
  • Full refund is available for participants who cancel their confirmed bookings within deadlines.
  • For any participant who cancels his/her confirmed booking after the informed deadline, the hotel no-show amount will be charged. However, he/she will receive full refund if the same room is re-booked by another participant.
  • Refund costs will be deducted from the paid amount.
  • A handling fee of 50 EUR will then be charged for each name change.
